Role Mission
To provide accurate, timely, and efficient sales administration support, ensuring smooth follow-up from customer enquiry and quotation through to order processing, invoicing, delivery, and after-sales coordination.
Role Summary
You will support the sales team and manage daily sales administration activities. Your primary focus will be sales follow-up, customer communication, document preparation, order coordination, and maintaining accurate sales records.
You will work closely with customers, business partners, suppliers, logistics providers, and internal teams to ensure that quotations, agreements, orders, invoices, receipts, and related documentation are prepared and processed accurately and on time.

Job Description
Provide day-to-day sales administration and coordination support to the sales team.
Follow up on customer enquiries, quotations, orders, delivery schedules, and outstanding matters.
Prepare and process sales documents, including quotations, proposals, agreements, invoices, receipts, order forms, and related correspondence.
Check customer and order information carefully to ensure that all documents are accurate and complete.
Coordinate with customers, business partners, suppliers, logistics providers, and internal departments on order and delivery arrangements.
Maintain accurate customer, quotation, order, invoice, and sales records.
Update sales databases, tracking files, and order-status reports on a timely basis.
Monitor the progress of quotations and orders and remind relevant parties about pending actions.
Assist the sales team in preparing customer documents, presentations, meeting materials, and sales reports.
Support the coordination of sales and marketing campaigns, product launches, seminars, and customer activities when required.
Liaise with customers to confirm order details, delivery arrangements, billing information, and other administrative requirements.
Follow up on invoices, receipts, payment status, and relevant supporting documents.
Handle routine customer enquiries professionally and refer technical or product-related matters to the appropriate team members.
Organize and maintain proper filing systems for sales and customer documents.
Ideal Candidate
Tertiary education
At least 2 years of relevant experience in sales administration, sales coordination, customer service, order processing, or healthcare-related business.
Experience in medical devices, healthcare, pharmaceutical, medical equipment, or related industries is an advantage.
Proficient in Microsoft Office applications, especially Excel, Word, and Outlook.
Proficient in English and Cantonese.
Proficient in Mandarin is an advantage.
